Local On Site Logistical & Expense Guidelines
Here are our standard guidelines regarding commute, meals, and team accommodations. We believe in transparency, so we share these details upfront to help you budget accurately and understand why we do what we do.
Our core philosophy is simple: you support us so we can support you. Wedding coordination requires intense hours, early mornings, and late nights. Taking care of our team ensures we are safe, sustained, and fully focused. This enables us to be be fully focused on you and do everything in our power to execute a flawless event and special celebration for you.
Here is a breakdown of our standard out-of-pocket requirements:
- On-Site Lodging: We request that we have an on-site stay the night before, so we are already on site and ready to work on ‘Event Days’ without the worry of disrupted commutes. We also need a safe stay night(s) during and after the Event to avoid the dangers of a late night commute.
- This is typically 2 rooms for 2-3 nights (depending on your Events).
- I typically book the hotel reservations myself in your room block and provide the confirmation numbers so you can submit a credit card authorization form directly to the hotel or simply inform them ‘put it on my account’. If we are able to reduce our room needs closer to the date, I will immediately update the reservations to save you the expense.
- Commute and Parking: We do not chose the location of the celebration, we come to your event at the location you have chosen. For locations with no parking fees, none will apply. For locations (like downtown) with tolls and parking fees, we ask that they be covered. This means you pay only what is necessary.
- All commute expenses such as tolls and parking costs incurred by the planning team are to be covered by the client.
- We will estimate an amount to be paid in advance, we will submit receipts and refund any unused funds.
- Vendor Meals: To maintain high energy and a seamless timeline, the planning team requires the same hot meals provided to your guests.
- FYI - most vendors need on site meals. Managing these behind the scenes details is already part of my services.
- I will coordinate this directly with your caterer for the planner team and any other vendors that need meals.
- In an instance where no food is provided, it requires us to leave the event to get food. This interrupts your service, which is the opposite of what we are there to do.
By putting these logistical safeguards in place, you ensure the planning team's safety, energy, and focus (which we greatly appreciate). This frees us to fully focus on building your vision, handling the unexpected, and elevating your celebration to its highest potential.
