What to ask on your RSVP page

Your RSVP page is where you will collect all the guest information that your vendors will ultimately need.

A well designed RSVP form saves you hours of back and forth later, making your final planning smoother, clearer, and stress free.

RSVP forms are especially important for multi day, multi event, family friendly events. For South Asian weddings, guest counts are needed for each event. That means a separate list for Henna RSVP, Sangeet RSVP, Wedding RSVP, Reception RSVP. Along with that, guest details such as dietary restrictions and ages are important.

Below are the questions I recommend asking your guests, along with response options to offer them. This gives you just what you need so you can skip the extra steps of trying to remember how old someone's newest member of the family is.

Event Attendance

Start with event attendance. For weddings with multiple events, begin with the largest event and proceed from there.
When listing each event, include:
  • Event name (Wedding, Reception, Other)
  • Full date (Saturday, July 25, 2026)
  • Start time (10:00 am)
  • Location (Marriott Bridgeport in New Jersey)
This encourages accurate responses because all relevant information is visible at the moment of answering.

It shifts the question from a vague “Are you coming?” to a clear: “Will you be joining us for our Wedding on Saturday, July 25, 2026 at 10:00 AM at the Marriott in New Jersey?”

Sample:

Will you be joining us at our [EVENT: Ceremony, Reception, Other] on [DATE]?
  • Attending
  • Not Attending

Repeat for each event, grouping all attendance questions together so guests can respond while they have their calendars open.

Meals

Everybody loves food. So next up, we ask about that.

For plated meals
If the caterer needs attendees to pre-select meals, list the options clearly and offer direction for anyone with special dietary needs.

For buffet meals
Buffets are common at South Asian weddings, where multiple vegetarian and non-vegetarian preferences may exist. Knowing what to expect can be helpful.

Sample (Plated Meals):

Please let us know your meal preference:
  • Chicken
  • Fish
  • Vegetarian
  • For dietary restrictions, please select this option and contact us at [email protected] so we can notify the caterer.

Sample (Buffet):

Please let us know your meal preferences:
  • Flexible, no restrictions (eats some non-vegetarian)
  • Vegetarian
  • I need something special*
*Follow-up question: Please share your dietary restriction (e.g., gluten-free, nut-free, other).

No need to repeat as dietary restrictions would be the same for all meals typically.

Accommodations

For multi-day celebrations or weddings with a room block, this information helps with expected number of rooms, number of welcome bags, transportation, and overall logistics.

Sample:

Where will you be staying?
  • At the hotel with everyone [couple’s chosen hotel]
  • On my own

Sample:

We are offering transportation for [Event]. What are your plans?
  • Take the shuttle from [couple’s chosen hotel] to [Event]
  • I'll manage on my own
  • I am not sure

Repeat for each event that has transportation.

Guest Age Groups

With family friendly events, guests fall into in a wide range of age groups. It is helpful to have this information so food and alcohol can be prepared accordingly. Your caterer will often charge less for child meals. And if providing alcohol, having an 'over 21' guest count enables you to provide an appropriate amount.

The easiest way to collect this information is to have guests submit it, making it to be one less thing to manually enter yourself.

*Please note that ages do not need to be exact as no one is checking birth certificates to validate ages.

To go above and beyond for baby guests, if your venue provides high chairs you may ask if they would like a high chair.

Sample:

What category is right for you (estimate if unsure):
  • Adult (21+)
  • Young Adult (12–20)
  • Child (5–11)
  • Baby (0–4)
Keep Your RSVP Form to the Essentials
RSVP forms are not anyone’s favorite activity, and guests complete them because they care. Keep the required questions to the “must have” items.
For fun extras — playlists, guest books, advice cards — direct guests elsewhere on the website. Example:
“Head to our Music page to request songs for the reception,” or,
“Please sign our Guest Book on the next page.”
